Privacy Policy and GDPR Statement
Machine Learning in Science (“MLiS”, “We”, “Us”, “Our”) is a non-profit organisation hosted at the University of Glasgow. This Privacy Notice (“Policy”) sets out the basis on which the personal data collected from you, or that you provide to Us, will be processed by Us.
“Personal Data” means any information that identifies or relates to a particular individual and also includes information referred to as “personally identifiable information” or “personal information” under applicable data privacy laws, rules, or regulations (collectively the “Data Protection Laws”). For clarity, this Policy applies when MLiS acts as a “Controller” (as defined in the General Data Protection Regulation (the “GDPR”) and the version of the GDPR retained in UK law (the “UK GDPR”) or “Business” as defined under the California Consumer Privacy Act of 2018 (the “CCPA”)). Please read the following carefully to understand Our views and practices regarding your Personal Data and how We will treat it.
This Policy explains how We handle and use the personal information We collect about Our members and attendees at Our events, for processes relating to Our operations and activities. When changes are made to this statement, these will be available on Our website.
For the purpose of the General Data Protection Regulation (“GDPR”) and the version of the GDPR retained in UK law (the “UK GDPR”) the Data Controller is Machine Learning in Science.

Sources of Personal Data
We collect Personal Data about you from you:
- when you provide such information directly to Us, and
- when Personal Data about you is automatically collected in connection with your use of Our Services.
Information We collect from you
We collect and process some or all of the following types of information from you:
- Information that you provide by filling in forms on the MLISconf.org website (“Website”). This includes information provided at the time of registering to use the Website, subscribing to Our Services, posting material or requesting further information or services. We may also ask you for information when you report a problem with the Website.
- If you contact Us, We may keep a record of that correspondence.
- We may also ask you to complete surveys that We use for research purposes, although you do not have to respond to them.
- Details of all actions that you carry out through the Website and of the provision of services to you.
- Details of your visits to the Website including, but not limited to, traffic data, location data, weblogs and other communication data, the site that referred you to Our site and the resources that you access.
The provision of your full name and e-mail address, your employer and/or your place of work and the url of the business that you work for is required from you when you register to use Our Services. We will inform you at the point of collecting information from you, whether you are required to provide the information to Us.
How We use your personal information
We collect and process your personal information in order to contact you regarding participation in Our events, and in order to provide information about events.
Our normal legal basis for processing your personal information is your consent, which you gave at the point you provided Us with your contact details and which you can withdraw at any time by contacting Us. We keep your personal information for as long as We need it for Our events. How We share your personal information
- Personal information is not shared outside of MLiS.
- We use University of Glasgow IT facilities to store electronic copies of personal information.
We may also be subject to a legal requirement (with or without your consent) to share your personal information with the University of Glasgow or a government agency (such as the police or security services or other statutory authorities with investigatory powers) under special circumstances (e.g. relating to tax, crime or health and safety). Where feasible and appropriate, We will notify you of Our intention to share such information in advance.
Your rights
You have the right to access the personal information that We hold about you. You also have the right to ask Us to correct any inaccurate personal information We hold about you, to delete personal information, or otherwise restrict Our processing, or to object to processing or communications, or to receive an electronic copy of the personal information you provided to Us. Please note that all of these rights are qualified in various ways.
